FIELD GUIDE 16 / 25

Configure task fields and tag-based requirements

Collect consistent details and append reusable description snippets using team tags.

Product guide 4 sections

Configure fields for your team

  1. 01Select the company, open the team, then open the team management menu (⋯) → Task Fields. Only the team owner can change this configuration.
  2. 02Choose Add a field and set its label, control type and optional instructions. Supported controls are text, long text, number, date, dropdown, multiple choice, checkbox, email and URL.
  3. 03Mark Required when a value must be supplied. Number fields can have minimum and maximum values. Dropdown and multiple-choice fields use the choices you configure.
  4. 04Save fields. The configuration applies to tasks in this team, not other teams.
Keep in mind
Saved fields retain their type and saved choices retain their identity. Rename a field or choice to update its wording; archive a field to hide it without deleting saved values. A required checkbox must be checked.

Show fields only for selected tags

  1. 01In Task Fields, enable Show fields only when their selected tag is applied.
  2. 02For each conditional field, select one or more existing team tags. The field appears when any of those tags is selected on the task.
  3. 03Leave the tag condition empty to show the field for every task. Turn off conditional behavior to show all active fields.
Keep in mind
Hidden fields do not block saving. Removing a tag hides its fields but preserves values already saved on the task. Reselecting the tag brings those values back. Remove a tag from field conditions before deleting that tag.

Append description information using tags

  1. 01Open the team management menu (⋯) → Description Snippets, then choose Add a description snippet. Task Fields remains a separate menu option for custom fields.
  2. 02Enter a title and use the same simple text editor as task descriptions to format the information with bold, italic, underline, alignment, or lists. Select one or more existing team tags, then save. Any of these tags can trigger the snippet, independently of conditional field visibility.
  3. 03Create a task with a matching tag, or newly apply a matching tag to an existing task. A formatted preview below the description shows what will be added. Save to append it in its own tinted box with the snippet title, separate from your main description.
  4. 04Each snippet is added only once per task. Removing the last matching tag keeps the text and appends a note asking the reader to confirm that the snippet still applies. Reselecting the tag does not duplicate the snippet or its note.
Keep in mind
Rules do not rewrite existing tasks or previously appended text. Archive a snippet to stop new appends. Existing text remains editable and is included in task details and printing. Recurring tasks retain the text and its append-once history. You can configure up to 30 snippets, each with 1–20 matching tags.

Complete custom fields on a task

  1. 01Create or edit a task in the team, Tasks or Calendar screen. Team fields appear alongside the task's existing details.
  2. 02Select tags to reveal conditional fields. Fill any field marked required, then save the task.
  3. 03Saved, currently visible values appear in task details and task printouts. Existing tasks are not rewritten when a new field is configured.
Keep in mind
New tasks must satisfy visible required fields. Editing field values or tags also enforces current requirements. Unrelated status and claim actions remain available for older tasks. When Slack creation needs required fields, use Complete task in Slackalendar; no incomplete task is created by that handoff.
