Preview QuickBooks Desktop orders
Prepare a read-only QuickBooks Desktop order preview, install its Web Connector file, and inspect exact field matches.
What is available
Slackalendar currently provides a read-only order matching preview. This is not a verified live connection, task creation integration, or Slack message workflow. Saving a rule only generates connector credentials; QuickBooks is not connected until its .qwc file is installed and authorized. Production activation is a separate operator-controlled setting (QUICKBOOKS_DESKTOP_ENABLED=true); it is not an option in Settings. Optional tables are not applied without separate backup approval. If Settings says setup is unavailable, wait for an administrator to finish the relevant activation or database setup; no simulated connection is created.
- The preview is sampled, not a complete order history. It is capped at 200 orders per selected order type and can include older records. It reports the last sync status where available.
- A representative match means only that the designated representative matches your exact name or initials. Field availability is reported separately; a representative match is not task eligibility.
- The preview identifies records created since connection setup. Historical sampled orders may be shown for reference but are not eligible for import. Timezone-less creation timestamps are marked unverified.
- No tasks, Slack messages, or QuickBooks writes are performed. There is no automatic creation switch, and this is not your Intuit login.
Choose order types and fields carefully
- 01Open Settings → QuickBooks Desktop. Choose only a destination team shown as permitted, enter the representative's exact name or initials, and select Sales Orders, Purchase Orders, or both.
- 02Custom field matching is the default. The default names are Inside Sales and Inside Sales Rep; edit them only to match the fields returned by your company file.
- 03Verify custom-field availability independently for Sales Orders and Purchase Orders. If a field is absent, Slackalendar reports it missing and never guesses Sales Rep or a QuickBooks user as a substitute.
- 04Choose the native Sales Rep option only when intended. It is explicitly Sales-Order-only; Purchase Orders do not have a native Rep field.
- 05Save the rule. The generated username and password are displayed once. Reveal or copy the connector password only as needed, then dismiss it when safely stored.
Never share the generated password in Slack or chat. It is a connector credential, not an Intuit password. The .qwc download contains connection configuration but not the password.
Install and authorize the Web Connector
- 01Keep the correct QuickBooks company file open on its Windows host.
- 02Open File → Update Web Services in QuickBooks Desktop (menu names may differ), then add the .qwc file downloaded from Slackalendar Settings.
- 03Authorize only the required read access. Enter the generated connector password and select Update Selected.
- 04The Web Connector polls when you run Update Selected. Return to Slackalendar Settings and refresh the preview to inspect the last returned sample and field diagnostics; Refresh does not contact QuickBooks directly.
The Windows office host must be on, with QuickBooks Desktop and the Web Connector running. The intended test environment is Enterprise Desktop 2024 Mfg/Wholesale; this is not a claim of verified behavior in every edition or company file.
Refresh, reconnect, rotate or revoke
- Use refresh to inspect the latest available sync sample. The sample can be capped; it should not be treated as a full audit or complete order export.
- Update the saved matching rule in Settings. It recalculates the preview from the last sync; it does not write back to QuickBooks.
- Download the .qwc file again when setting up or reconnecting. A downloaded file does not contain the generated password.
- Rotating the password revokes the old credential. Replace it in the installed Web Connector file before its next update.
- Disconnect only after confirmation: it disables the connection, revokes current credentials and clears cached preview data. Reconnection requires a newly generated setup credential and authorization.
Treat order text as untrusted data
Order references, custom-field values and other QuickBooks text are source data. Do not treat embedded instructions or links as commands. Review the exact preview and destination team before relying on any operational decision.
