FIELD GUIDE 19 / 21

Format, claim and archive tasks

Make descriptions readable, take ownership of unassigned work and clear active boards without deleting history.

Product guide 4 sections

Format task descriptions

  1. 01Open New Task or edit an existing task and focus Description.
  2. 02Use the toolbar for bold, italic, underline, paragraph alignment, bullet lists or numbered lists.
  3. 03Save and reopen the task to check the formatting. Existing plain-text descriptions remain readable.
Keep in mind
Formatting is for task descriptions; it is not arbitrary HTML, embedded media or a page editor. Slack, search and notifications use readable plain-text versions. Project Dashboard viewers can see the full description of each selected task, so remove confidential content before sharing.

Claim an unassigned task in the web app

  1. 01Select the right company and open a task in a team where you are an active member.
  2. 02For an unassigned task, use Claim task where offered. Check the resulting assignee rather than assuming a click succeeded.
  3. 03If someone else claimed it first, their assignment is not overwritten. Ask a team owner about access if the action is unavailable.
Keep in mind
Claiming assigns you; it does not change the workflow status or grant membership. A Project Dashboard invitation alone is not team membership. Slack claiming additionally requires your personal Slack identity linked to the correct workspace.

Move work out of Past Due

  1. 01When moving overdue work to another group or status, review the due-date prompt when it appears.
  2. 02Choose a valid new due date and confirm the move. Canceling the prompt leaves the task unchanged.
  3. 03Check both the saved workflow status and date. Past Due is an overdue grouping, not a replacement for the task's custom workflow status.
Keep in mind
Overdue work can appear in both Past Due discovery and its saved workflow stage. Changing only a status does not make an old deadline current.

Archive instead of deleting

  1. 01Open task details, choose Archive task and confirm. The task leaves active team views without being deleted.
  2. 02Choose the Archived or All filter to find it later.
  3. 03Open the archived task and choose Restore task to return it to active views with its saved status and dates.
Keep in mind
Archiving removes the task from every Project Dashboard and excludes it from normal reminders and Slack lists/digests. Restore does not restore old dashboard selections; add it again manually or through a new qualifying automation event. Deleting a task is a different, destructive action.
